Manage and Configure Spaces (v 1.1)

General information

Spaces can be configured by using the list "Space Masterdata". The information in this list will be used for providing them in the Space Cards (including the links for access to the related spaces in connected systems) respectively in the Space Details as well as for filtering within Spaces.

Remarks:

  • The field "Visibility“ is not used anymore.
  • The field named "Access“ is used as "Privacy" in the Space Details and in the Filter Panel.

Navigate to "Site contents" in the main menu. Click on the list "Space Masterdata".

In this list you can add a new space. Click on 'New' to add a new item

In the pane on the right side you can now fill in the required values in the corresponding fields.

Additional information regarding the "Tools" and the associated "<tool> URL" columns

  • If you don't select a certain tool for a space (for example "SharePoint") in the "Tools" column, then the icon for the tool will not be shown at the concerning space card in the app.
  • If you leave the associated "<tool> URL" column empty (for example "SharePoint URL"), then the icon for the tool will not be shown at the concerning space card either (although the "Tool" itself has been selected).
  • The "Default Tool" field is not used at current.

Configure choices

You can also configure available choices for the following columns of the "Space Masterdata" list:

  • Space Type
  • Keywords
  • State
  • Access
  • Location
  • Department

These choices will also be used in the filter panel within the app (see Filter Spaces (v 1.1)). For example the choices for the "Space Type" column will be the choices in the "Space Type" filter in the app:

To edit the choices of a column in the "Space Masterdata" list click on the column header. Hover over 'Column settings' and select 'Edit'.

Here you can change the choices. Each choice has to be in one line. Addremove or edit choices.

Optional: Configure the space logo using the 'Space Logos' list

To add a logo for a space you have to insert the URL pointing to the logo image in the "Space Logo URL" column in the "Space Masterdata" list. Generally the image can be stored anywhere.

If you want to store your logo images in a central location you can use the "Space Logos" list (created automatically during installation of the app).

Navigate to "Site contents" in the main menu. Click on the list "Space Logos".

If you want to link an image from this list to the 'Space Masterdata' list then you have to click on the three points in the row of the image and click on 'Copy link'.

It is recommended to click on the field below in the upcoming popup first.

Choose 'People with existing access'. Then click 'Apply'.

Now you can copy the provided link.

Paste the URL to the concerning 'Space Logo URL' field in the 'Space Masterdata' list.
